VoIP (Voice over Internet Protocol) is phone service that sends your calls over your internet connection instead of dedicated telephone wires. Your voice becomes data packets, travels the same pipe as your email, and converts back to sound on the other end, in tens of milliseconds. That’s the whole trick, and it’s why a “phone system” can now be software.

Most explanations of VoIP are written for either engineers or nobody. This one’s written for the person who signs the phone bill. We install and support these systems across North Texas, so along with the how-it-works, you’ll get the parts vendors gloss over: what breaks, what it really costs, and what to check before you switch.

Voice over IP, explained in one story

Pick up a traditional phone and a physical electrical circuit gets reserved between you and the person you called, held open for the entire conversation whether anyone’s talking or not. That’s circuit switching, and it’s how phones worked from the 1880s until roughly your last office lease. It’s reliable and staggeringly inefficient, like closing a whole highway lane for one car.

VoIP works like everything else on the internet instead. Your voice gets sampled thousands of times a second, compressed by a codec, chopped into small packets, and each packet finds its own way across the network with an address on it. At the far end they’re reassembled, in order, into sound. Any given packet might route through a different path than its neighbor. None of that matters as long as they arrive within a few dozen milliseconds, and on a healthy connection, they do.

The efficiency difference is why VoIP costs less. The flexibility difference, calls as data, deliverable to any connected device, is why it won. Once your phone line is software, ideas that were impossible on copper become checkboxes: ring three devices at once, transcribe voicemail into email, move the “phone system” to a new building by carrying the phones there.

How does VoIP work, step by step?

Here’s the life of one call, from a customer’s cell phone to the desk of your office manager:

  1. The call enters the phone network normally. The customer dials your number like any other; nothing about VoIP is visible or different on their end.
  2. The network hands the call to your VoIP provider. Your number, as we covered in what a VoIP number is and why it behaves differently, lives in the provider’s routing database rather than on a wire to your building.
  3. The provider’s system consults your call rules. Business hours? Send it to the front-desk ring group. After hours? Auto-attendant, then the on-call cell. This logic layer is the “PBX,” and in modern systems it’s hosted in the provider’s cloud rather than a beige box in your closet.
  4. Signaling sets the call up. A protocol called SIP (Session Initiation Protocol) does the handshake: locating your registered devices, ringing them, negotiating which codec both ends will speak. SIP is the dial tone’s replacement, and it’s why desk phones, laptop softphones, and cell apps can all be “your extension” simultaneously.
  5. Voice flows as packets. Once answered, the actual audio streams over your internet connection in both directions, converted at your end by the desk phone or app.
  6. Everything is logged and usable. Because the call is data, recording it, transcribing it, or popping the customer’s record on screen are software features rather than hardware projects.

The parts of that pipeline you own are exactly two: your internet connection and your local network. Every quality problem we’re called to fix lives in one of those two places, which we’ll come back to, because it’s the section that saves you money.

What equipment does VoIP need?

Less than people expect, and here’s the honest inventory:

The router line is the one to notice. QoS (quality of service) means the router treats voice packets as first-class passengers, sending them ahead of the giant file sync and the training video. Without it, calls are fine until the network gets busy, and then they’re not, which is the most common “VoIP is unreliable” complaint in existence. VoIP isn’t unreliable. Unmanaged networks are.

What does VoIP cost?

Short version for this article: $15–$35 per user per month is the normal band for hosted business VoIP in our market, with the spread driven by features (call recording, analytics, integrations) rather than call quality. Phones are the main upfront cost if you want physical handsets. Old copper lines you’re replacing typically run $40–$70 each monthly, so a 10-line office usually comes out ahead within the first year even after buying hardware. The honest trade-offs

We sell and support these systems, so weigh the bias, but here’s what we tell owners across the desk.

Power and internet outages take the phones with them, unless you plan. Copper phones drew power from the phone line itself and famously worked in blackouts. VoIP doesn’t, natively. The mitigations are real and cheap, but they’re choices: battery backup on the network gear, automatic failover to cell apps, and a provider-side rule that sends calls to voicemail-to-email if your site drops. Configured, an internet outage becomes “everyone answers on cells.” Unconfigured, it’s silence. Guess which configuration the cut-rate providers ship.

Call quality is a network property. Choppy audio, robot voice, one-way sound: these are almost never the VoIP service and almost always jitter, latency, or packet loss on the local network or an undersized internet plan. A business running phones and 30 workstations on one consumer cable modem with the ISP’s combo router is going to have a bad time. This is also our pitch for one-roof honesty: when the same team runs your network and your phones, “the phone guy says it’s the network, the network guy says it’s the phones” stops being a possible Tuesday.

911 requires configuration. Your number isn’t tied to an address anymore, so your address must be told to the system, per device, kept current. Federal law (Kari’s Law and RAY BAUM’S Act) requires multi-line systems to support direct 911 dialing, on-site notification, and dispatchable location delivery (FCC). Treat it as a go-live checklist item with a named owner, especially for remote workers whose “office” moves.

Faxes and alarm lines need a plan. Analog devices riding old copper (fax machines, some alarm panels, elevator phones) don’t automatically survive the switch. Adapters handle some; alarm panels usually deserve a cellular communicator instead, which is a conversation our alarm side has with our phone side without you in the middle. Inventory these before port day, not after.

Our take: every VoIP horror story we’ve been called to autopsy came down to one of the four items above, skipped during a rushed cutover by whoever quoted lowest. The technology is mature. The implementations are not created equal. Ask any prospective provider how they handle outage failover and 911 location for remote staff, and let the quality of the answer pick your vendor.

A word on where VoIP shines brightest: distance

Here’s the shape of it in a real setting. A medical billing office in Denison, up on the Oklahoma line, historically paid metro-style rates for copper trunks plus long-distance to the Dallas health systems they work with daily, and their rural stretch of US-75 meant a two-day wait anytime a line acted up. On VoIP, the Dallas calls are just packets (no long-distance meter running), the “phone system” is in the cloud rather than a closet, and when something needs attention, most of it’s fixable remotely within the hour. Smaller-market businesses arguably gain more from the switch than metro ones, because distance stops costing anything. If it were our building: hosted VoIP, a router that puts voice first, battery on the network stack, cell-app failover tested quarterly (actually tested, by unplugging things), 911 locations audited every time someone moves desks or homes. That configuration has survived ice storms, fiber cuts, and one memorable backhoe. The businesses that did the checklist kept answering their phones through all three.

Decoding the jargon on your quotes

Once you start collecting proposals, four terms will show up wearing suits. Here’s what each actually means, because vendors use them interchangeably when they shouldn’t:

Hosted VoIP / hosted PBX / cloud phone system. Three names for the same thing: the call-routing brain lives in the provider’s data center, you pay per user monthly, and your office needs only phones and internet. This is what nearly every small business should buy and what this article has been describing.

UCaaS (Unified Communications as a Service). Hosted VoIP plus the collaboration layer: chat, video meetings, screen sharing, presence, one app for all of it. The line between “VoIP provider” and “UCaaS platform” has mostly dissolved; the acronym on the quote usually just signals which decade the sales deck was written in. If your team already lives in Teams, ask about integration before paying for a parallel meeting product you’ll never open.

SIP trunking. A different product for a different buyer: internet-delivered call capacity feeding a PBX you still own and run. It’s the right answer for companies with a modern on-premise system that isn’t depreciated yet, and the wrong answer sold to small offices that would be better served letting the closet hardware retire. If you don’t own a PBX you’re attached to, you almost certainly don’t want trunking.

Softphone. The app version of a desk phone, on a computer or cell. Not a lesser option; for a growing share of our clients it’s the primary device, and it’s why “phone system” and “laptop” are becoming the same purchase.

The pattern worth noticing: every one of these is a delivery detail. The questions that actually separate good from bad outcomes are the unglamorous ones from earlier: who configures failover, who owns 911 locations, who answers when quality dips. Buy the operator, not the acronym.

Is VoIP right for your business?

For nearly every office under 200 seats in 2026, yes, with two honest exceptions: if your internet service is genuinely poor with no better option available (rare now, even in the rural parts of our service area, but real), or if your call volume is so low that a cell phone is your phone system and nobody’s embarrassed. Everyone else is choosing between VoIP now or VoIP at the next lease event, because the copper alternative is aging out from under its own price increases.
